Catacloud is more than just an accounting system. We have made it easy to take care of important documents in one and the same place, so that you as a customer can have a complete overview of the company. We therefore have a separate module for storing files. This module extends into the system and you find separate file areas for customers, suppliers, departments and projects. In addition to the shared areas, you have your own private file area, which can be deactivated in access control if not desired.
The file system in Catacloud supports most file formats and has a preview of, among other things, images, PDF files, text files, e-mails (in eml format) and Microsoft Office documents (Word, Excel, PowerPoint).
When you have opened the file module, you will find in the left side menu something called documents. These are documents that only you can see and upload. If you wish to share documents, this must be done in one of the shared areas (Customer, supplier, project or department).
Here we have set up a few different departments, and these can be found again in the side menu under the heading departments. Here, across the department, you can create and upload important documents that everyone in the department will then have access to. Note that only people who have been given access to the module and who are members of the relevant department can view the files. It is also possible to share the files under a project, so that the members of the project can reach them.
Navigation and file management
We have taken a lot of inspiration from well-known file explorers and it should therefore be very easy to get started with navigation and file handling. Creating a new folder can be accessed from the command line or via a right-click. You can simply drag and drop files and folders to move them, and right-click drag and drop to select if you want to copy the files or folders instead of moving them. In addition to uploading via "Upload" button, drag and drop files from your computer or paste files that you have previously placed in the clipboard locally on the device.
To mark several files or folders, you can click and drag the mouse over an area of files or folders you want to mark. We also support tagging multiple single files or folders by holding down Ctrl the or key Shift (to mark a range / even).
You can switch between the 3 different views at the bottom right corner at any time. These views are thumbnails, icons and list view. By right-clicking on the folder or document you have uploaded, you can perform various actions such as renaming, deleting or adding a label (tag) to categorize the documents or folders. We also have the same functions as in the document reception for merging or splitting PDF files.
Here are some of the keyboard shortcuts you can use when working with files in Catacloud beyond the arrow keys for marking with or without Ctrl or Shift:
- Ctrl + x / CMD + x – Cut selected files or folders
- Ctrl + c / CMD + c – Copy selected files or folders
- Ctrl + v / CMD + v – Paste previously cut or copied files or folders
- Ctrl + a / CMD + a – Select all the files and folders in the relevant file area or the relevant folder
- Delete / Backspace – Delete marked files and folders
- Enter – Open folder or preview file
We not only give you the tools to save files, but also the overview so you have full control. The file module always gives you a status in the bottom left corner of how much storage capacity has been used and what is left.
